We treat the information our clients provide to us as accurate and complete. We do not independently verify the original source of documents, statements, or data a client supplies, and we rely on that information in good faith to perform our services.

Our AI Policy

We take a careful, conservative approach to artificial intelligence. Our clients’ financial information is private, and we treat it that way.

Our commitments:

  • No client financial data is entered into outside AI tools. We will never paste, upload, or otherwise share client transactions, balances, reports, bank or credit card details, payroll figures, or other financial data into any public or third-party AI tool — even with the client’s name or identifying details removed.
  • General business communications may use AI assistance. We may occasionally use AI tools to help with general business writing — such as drafting marketing content, refining internal documents, or improving our own communications — but only when no identifying client information and no client financial figures are included.
  • AI features built into the software we already use. Some of the platforms we rely on to run our business include built-in AI features (for example, transaction categorization suggestions inside QuickBooks Online). Because these features operate inside platforms we already use to deliver our services, client data processed within those platforms is covered by the platform’s own privacy and security terms, not by outside AI tools.
  • Client-provided information. We work from the information our clients provide to us as factual. We have no way of knowing how a client originally created or sourced a document or data point, so we rely on it in good faith and use it to perform the services our client has engaged us to do.
How We Protect Your Information

We take data security seriously and use appropriate safeguards to protect your information, including:

  • Secure, cloud-based systems for storing and processing financial data.
  • Limited access — only authorized team members can view client information.
  • Strong password practices, including the use of a secure password manager (LastPass) to manage internal credentials.
  • Use of trusted platforms to support our work, including QuickBooks Online (accounting), SuiteDash (client portal and secure document storage), Microsoft 365 (email and business productivity), Calendly (scheduling), and Zoom (client meetings).
Sharing of Information

We do not sell your personal or financial information.

We may share information only when necessary to provide our services or comply with legal obligations, including:

  • With the service providers listed above (QuickBooks Online, SuiteDash, Microsoft 365, Calendly, Zoom, and LastPass), strictly to support the services we deliver to you.
  • When required by law, regulation, subpoena, or other legal process.
Data Retention

We retain client records for a minimum of seven (7) years after our engagement ends, in line with IRS and standard accounting record-retention guidelines. After that period, records may be securely deleted or archived, except where a longer retention period is required by law or by a specific client agreement.

Your Rights

You have the right to:

  • Request access to the information we hold about you.
  • Request corrections to inaccurate information.
  • Request deletion of your data, where applicable and where we are not required by law to retain it.

Children's Privacy
